The Challenge

Healthcare admin that was costing everyone time.

The client was running a growing multi-doctor practice with no unified system. Patient bookings happened over the phone and were logged manually. Clinical notes were stored across a mix of legacy software and physical files. Appointment reminders were sent by hand, and no-show rates were consistently above 25%.

Staff were spending hours each day on tasks that should have been automated — calling patients to confirm appointments, tracking follow-up schedules, cross-referencing paper notes before consultations. The practice couldn't scale without solving the admin bottleneck first.

The platform also needed to be available 24/7 so patients could book, reschedule, or access their wellness summaries at any time — without calling the practice during opening hours.

Practice Workflow Mapping

We shadowed reception staff and doctors for two days, logging every manual touchpoint. This gave us a complete picture of where time was being lost and what automation would have the highest impact.

We designed a unified platform that brought bookings, patient records, and wellness tracking into one system — with separate role-based views for receptionists, clinicians, and patients.
